    Volunteer Role Descriptions

    Season Long Volunteer Positions:

    Season Long Positions fulfill your volunteer obligation for the whole season.

    Announcer/Starter:

    Announces calls for each event and keeps the meet running smoothly. Will need to anticipate flow based on the number of swimmers, the stroke, the number of lengths to be swum, and the age of the swimmers. Training and equipment is provided for this position. Starts each event with the announcement of the age and stroke and gives an electronic sound or a blast of a whistle to start the races. Home meets only.

    Concessions Manager:

    Will organize the concessions for the home meets. This includes creating the list of needs and organizing the donations for the sale. the Concessions Manager will work closely with the Team Manager to organize the sale of concessions and communicate the needs of the concessions team. They will manage the concession volunteers.

    Meet Coordinator:

    This position requires you to work closely with the Team Manager and Coaches to coordinate before, during, and after each Meet. The Meet Coordinator is responsible for ensuring meet participation has been entered for each swimmer and meet events have been entered prior to each meet. During the meets the Meet Coordinator will enter and validating data from time cards., print heat sheets Must meet with Team Manager and Coaches prior to the seasons start.

    It is imperative that you be available on Friday afternoon to communicate with parents and secure availability of each swimmer for the upcoming meet, Sunday evenings to finalize heat sheets and sync with other team coordinator, and Monday afternoon and evening to respond to changes and record results.

    Official:

    This job requires training that will be provided by the league. Our team is responsible for having at least one official at each meet. You will work with the other teams official to ensure swimmers stroke technique follows the USA swimming guidelines. This position is for both home and away meets.

    Meet Specific Volunteer Positions:

    Each of these positions are specific to meets. Each parent is required to sign up to volunteer 2 times per swimmer registered.

    Concessions:

    Sells concessions and may work the grill. Helps set up and tear down concession stand. Assigned to work for one half of the meet. Home meets only.

    Pit Parent:

    Supervises the waiting area for swimmers during meets, works with the other volunteers and parents to mark the arms of swimmers with event/heat/lane and their backs with their names, keeps track of swimmers between events, and gets swimmers to the ready bench on time with caps and goggles.

    Ribbons:

    Places labels on ribbons; sorts ribbons by swimmer for distribution at practice the following day. This is a sitting job and out of the sun but may require you to keep working for a short while after the meet is over.

    Runner:

    Responsible for obtaining the completed time sheets from timers and DQ forms from the judges. The runner will deliver these to the Meet Manager at the scoring table.

    Shepherd/Ready Bench:

    Key to keeping a meet running smoothly. The Shepherds work closely together and with the Pit Parent to organize the swimmers at the start of the meet; may be asked to take role, mark events on swimmers, mark swimmers with their names, and assist with swimmer needs. the primary job of the Shepherds is to ensure swimmers are in line for their next event. The Shepherds will line the swimmers up on the ready benches by event, heat and lane.

    Timer:

    Timers record each swimmer's time. Each timer is provided a stopwatch, event sheet in order to record the times, and assigned a lane. There will be 2 timers on each lane during the events. One timer will serve as the head timer at each meet. This job gives you a front row seat to the meet. We are required to provide timers for both home and away meets.
